Art. 1: Our Business
Transpose SA provides its customers with linguistic, document processing and translation services, as well as related advice, hereinafter referred to as the services. Transpose SA strives to constantly develop its range of services and provide the best advice in relation with the services it offers. Our commercial partnerships are concluded to ensure the highest quality of our services.
This policy refers strictly to the services of Transpose SA, a company registered with the Commercial Register of the Canton of Geneva under number CHE-100.836.915, with its registered office in Avenue Calas 8, 1206 Geneva, Switzerland.
Art. 3: Collected Information (1st Level)
When you use our services, we may ask you to provide us with certain personal information needed for your identification, such as your name and, if applicable, the name of the company you represent, your occupation, your full address, your e-mail, as well as data relating to the payment of invoices, such as bank or credit card details, data related to your tax system (tax ID, domiciliation, etc.). We need such personal data to be able to contact you and provide you with the requested services (such as quote, customer support, documents delivery, billing).
In addition, using various cookies, our website automatically receives and records information about your connection to our website, including your IP address, the type of search engine used, etc. For security reasons and to prevent any fraud, we may ask you for additional information to check your identity, your address, your solvency or such other similar information, imperative for the risk management and for the compliance with the regulatory aspects governing the performance of our services.
Art. 4: Use of your Personal Data (2nd Level)
We use the information mentioned in Art. 3 to:
- Check if you already exist in our databases
- Stay in touch with you and be able to contact you regarding the services you have requested
- Be able to analyze your request for services and provide you, if necessary, with a detailed estimate. In this case and to be able to perform these services, your data can be shared with different interlocutors or collaborators, such as: our internal and external translators, embassies and consular services, notary offices, courier or postal services, our other production sites or our administrative and technical employees.
- To inform you of the status of your orders (e.g. production notice, delivery notice, billing notice, etc.)
- To manage the feedback and quality process, billing and order closing procedures
- To provide you with new offers, services, promotions or details about new products we consider that may be of interest to you. You can at any time notify us that you do not wish to receive this type of communication at firstname.lastname@example.org.
Transpose SA does not sell to third parties data provided directly or indirectly by its Customers. We only share data for the purpose of achieving our mandate in the most effective manner and to provide you with the best quality services, or to inform you of new service opportunities.
Art. 5: Scope of our Liability (3rd Level)
Our confidentiality commitment is limited to the information that Transpose collects from its current or prospective customers. We exclude all liability for the information contained in the documents provided to Transpose for the performance of its orders. The Customer is solely responsible for anonymizing, if necessary, the content of the documents to be translated or for providing us with the necessary instructions regarding the confidentiality of such documents. Content sharing is imperative if it concerns documents having an official nature and whose processing involves the intervention of third parties, such as, without limitation to, public officers, consular officers and notary officers, which is required for the fulfillment of our order. Transpose keeps, in all cases and for reasons of traceability and quality management, a copy of the documents relating to the orders carried out. Our archives are kept in accordance with the legal provisions in force. In addition, we maintain records of our legal or regulatory obligations, such as audits and certifications.
We do not share the data of our customers. More specifically, all translation memories and glossaries relating to them are not interlinked between the different files entrusted by our Customers. Finally, the data entrusted by our Customers is not processed in public translation or text analysis engines.
Art. 6: Data Protection and Storage
The Customers’ personal data is protected by physical means, such as alarm and video surveillance systems in our premises, external security companies for the surveillance of our premises, electronic means of protection, such as physical firewalls and software, processes and means of data encryption and internal procedures, such as the sharing of information with our employees on a “need to know” basis.
Transpose strives to ensure the highest security of the data provided. However, we cannot guarantee absolute security or full protection against systemic risks, such as possible cyber-attacks and data theft. For this purpose, Transpose regularly conducts external security audits, both scheduled and random, performed by leading IT security companies based in Switzerland.
Transpose data is stored in Switzerland with ISO 27001 security standards-compliant proprietary infrastructure and firmware. We are available to our customers to assist in the traceability audit of their data. Requests in this respect can be sent to us at email@example.com.
We will notify you of any intrusion in our system concerning your personal data, within 48h from its discovery, by using the contact information you have provided to us.
